- Within 2-3 days of placing your order, you will be contacted by an Assessment Account Representative who will assist you in setting up your assessment.
- The online tool uses e-mail access and secure Internet survey technology to efficiently and confidentially gather information from board members and the chief executive
- You choose one facilitator from your organization (e.g., ED, governance committee chair; executive assistant) to act as the point of contact for the board. This person will work with the Assessment Account Representative to set up the assessment.
- BoardSource, on behalf of someone you choose* from your organization, will send a message to each board member with a link to complete the survey. (*Examples: board chair, governance chair, executive director)
- Board members are given a deadline to complete the assessment, typically 8-10 business days.
- The chief executive and the board answer the same set of questions, except for a series of "Checklist of Practice" questions, which are only answered by the chief executive.
- BoardSource sends a reminder e-mail to any board members who have not completed the survey by the deadline.
- BoardSource sends the designated contact person (referred to as the facilitator) a list of board members who have not completed the survey. This gives the facilitator the option to monitor participation and contact individual board members to ensure they have received the e-mail and inquire whether they intend to complete the assessment.
- The day after the deadline, BoardSource sends the compiled data report to the facilitator via e-mail. Answers from individual board members are kept confidential and reported as an average score. Open-ended answers will be included in random order exactly as they were entered in the survey.
- Someone at your organization will serve as the facilitator and assist BoardSource with conducting the assessment. The facilitator will establish the beginning and end dates, provide BoardSource with a list of board member names and e-mail addresses, preview the survey, and determine if questions in the survey need to be customized. If performance goals have been established for your chief executive, these can be inserted.
- Board members and the chief executive will receive an e-mail with a link to log into the online survey.
- Everyone will be asked to complete the assessment by the deadline established by the facilitator. The assessment should take approximately 30-60 minutes to complete.
- Reminder e-mails will be sent to those who have not completed the survey prior to the deadline.
- The facilitator will be able to monitor who has completed or partially completed the assessment throughout the survey period and can make phone calls or send additional e-mails to encourage higher participation.
- Those who have completed the assessment will receive an e-mail confirming that their answers have been received by BoardSource.
- Through the online tool, BoardSource will provide a report that details the executive's answers along with an average of the board member's responses. No individuals (other than the chief executive) will be identified in the summary report. After the deadline, the facilitator will be able to generate the summary report and distribute this to the full board or a committee of the board.
